AIESEC Membership Terms & Conditions

1. Purpose

This document aims to introduce and explain AIESEC in The United Arab Emirates Membership terms and conditions. The terms and conditions apply to all AIESEC in UAE members: old members (oldies), new members (newbies), Local Committee Vice Presidents (LCVPs), Local Committee Presidents (LCPs), Member Committee Vice Presidents (MCVPs), and Member Committee Presidents (MCP). All members should abide by the AIESEC Anti-Harassment & Violence Protocol

2. Attendance:

Members must attend any official meeting hosted by the LCVP, LCP, MCVP, and MCP where the members are the targeted audience. The official meeting includes LC Meeting (LCM), Entity Meeting (EM), and Functional Meeting (FM)

  1. Members:

    1. Members must inform LCP before the meeting in case of planned absence. In case of planned absence, Members must inform LCP about their absence and their justification at least 24 hours before the meeting.

    2. In case of last-minute emergencies, LCP’s must be informed at any point in time with a strong justification, otherwise, absence will be recorded as unexcused.

    3. Members may miss four meetings with excused absences before being put under probation.

    4. Members may miss two meetings with unexcused absence before being put under probation.

    5. In case of missing two consecutive meetings, either excused or unexcused, members will be put under probation.

    6. Member may miss only one Entity Meeting with excused absence before being put under probation.

    7. Missing Entity Meeting with unexcused absence will result into direct probation.

    8. In case of missing any meeting without giving any notice, either before or during meeting time, members will be put under probation immediately.

    9. If a member misses one meeting while under probation, their membership will be annulled.

  2. LCP or LCVP:

    1. LCP and LCVP’s must inform the MC team of any absence and must send a proxy.

    2. If LCP or LCVP’s are absent for three (3) or more meetings without excuse, they will be put on probation.

    3. In case of missing any meeting without giving any notice, either before or during meeting time, LCVP or LCP will be put under probation immediately.

    4. If LCP or LCVP is absent for a meeting during the probation period, they will be relieved of their position and return as members.

    5. In case of missing any meeting without sending a proxy, MC Team will discuss the possible action to be taken, case by case.

3. Inactivity

  1. Members may request a temporary leave due to exams twice yearly at different times.

  2. Members that are inactive for 2 consecutive months for vacation purposes, will have to reapply for membership in the following recruitment cycle.

  3. If the member is inactive for three consecutive weeks, their membership will be annulled.

  4. Inactivity is defined as not doing any tasks, not attending any meetings, and/or being unresponsive on all communication platforms.

  5. The absence of meetings with no valid justification will get you warned.

  6. Members must regularly communicate with their team leader, LCVP, or LCP in case of any upcoming commitments that may impact their ability to be active.

  7. When a TL or member does not deliver their JD or is categorized as inactive, LCP or LCVPs should invite them to an O2O, discuss the situation, and set them on probation without prior notice.

  8. Not respecting the DDLs will get you warned.

4. Complaint System:

  1. Members may use the link provided by the MCVP TM to validate and work through the complaint or problem at hand.

  2. If the member does not use this link, it will be considered an informal complaint and will not be resolved.

    1. If MCVP TM does not share the link, the member must ask MCVP TM for the link.

    2. In case the MCVP fails to provide the link, the member shall escalate the issue to team leader, LCVP or LCP or send an email to esc.uae@aiesec.net

    3. The complaint may be anything AIESEC related, whether a person or a function.

    4. The complaint will remain confidential between the member and MCVP / LCVP TM unless clearly stated otherwise.

5. LC Engagement:

  1. LCP’s must regularly update the MC team on the progress made by the LC throughout their term.

    1. Feedback must be shared bi-weekly either by filling out a discharge sheet, conference call, or physical/virtual meeting.

  2. LCVP’s must be in constant contact with the members and get feedback from the members on the tasks given.

  3. The LCP and LCVP must have clear contact system to avoid all sorts of communication.

  4. LCP’s must have at least one LC Meeting per month.

    1. LCP’s have the option to not have LC Meeting if an Entity Meeting takes place within the same month, given that the Entity Meeting Date is officially announced in advance.

6. Reporting and Communication:

  1. Respect is the primary language of the commission and the entity. Everyone needs to maintain it.

  2. In case anyone disrespects another, they'll receive a warning notice and will be invited to a clarity meeting where the outcome of their membership will be displayed after the clarity meeting.

  3. LCP’s and MCVP’s shall report to MCP.

  4. LCVP’s shall report to MCVP’s and LCP’s.

  5. Members shall report to LCVPs before reaching out to LCP in case the LCVP is unresponsive.

  6. Members may report directly to the MCVPs and MCP if no communication with the LCVPs and LCP could be established.

  7. All “reported to” parties shall communicate with the parties who report to them only, and they shall not override them.

  8. All the above can be voided, only by MCP or LCPs, if the situation requires certain communications to ensure the continuous operation of the entity.

  9. The most critical updates should be communicated via email. Using any other channel will be considered as an irrelevant update and will be considered as not updated.

  10. All parties must be responsive to any communication.

  11. Email is our official communication channel. Using any other platform for professional conduct will lead you to be warned. Using AIESEC email for personal conduct will get you warned because it may lose its symbolic value.

  12. Emails should be sent to the team 48 hours before the due time. Otherwise, the presence won’t be considered mandatory.

7. Termination Rules and Regulations BODs

  1. Either MC team, LCPs, or LCVPs can initiate the termination by calling for a discussion meeting. The termination mechanism is by voting of all BOD members. Both parties will be given a chance to present the case. Thereafter, any action as output of the meeting, occurs when 60% of the BOD votes for the agreed decision. In case of the termination of an MCP, only MCVP(s) and LCP(s) can initiate the termination. In case of the termination of an MCP, the termination occurs when 60% of collective votes by LCP(s) and MCVP(s) vote for the termination.

  2. Action after in the case of the termination

    1. For LCVP: Respective LCP will nominate a new or temporary member to take the responsibility, unless LCP wants to take the responsibility for the remaining term.

    2. For LCP: MCs along with LCVP will nominate a new LCP, unless MCs directly work with LCVPs to continue the LC for the remaining term.

    3. For MCP: MC team along with LCPs will nominate one of MCVP to take up the MCP position.

    4. For MCVP: MCP along with rest of the MCVP will nominate a new member as MCVP unless MCP takes up the responsibility.
